A Living QMS: Document Control & Management of Change
A safety management system is only as good as the quality system that surrounds it. Two new modules — Document Control and Management of Change — bring the discipline of a formal QMS into Prometheus One, without the binders.
Document Control
Your manuals are controlled documents, and they need controlled revisions. The Document Control module manages manual revisions with a clear version history and an append-only electronic sign-off chain — so you always know which revision is current, who approved it and when.
- Controlled revisions: Track every revision of a manual with status and effective dates.
- Append-only sign-off: Approvals are recorded immutably; nothing is overwritten.
- AI section assist: AI helps draft and refine individual manual sections — but the PDF remains the controlled artifact, so your document of record never drifts from what was approved.
Management of Change (MoC)
Change is where risk hides. The MoC module gives you a structured change lifecycle for the QMS: raise → assess → approve → implement → review → close. Each change is risk-assessed using the same SMS 5×5 matrix the rest of your safety system uses, can reference change requests, and links to CAPA actions so nothing falls through the cracks.
- Full lifecycle: A clear, auditable path from idea to closure.
- Integrated risk: Reuses the SMS 5×5 risk assessment and named-person accountability.
- Connected to CAPA: Implementation and review actions tie into the existing corrective-action workflow.
One connected quality system
Because both modules share the same data, people and risk model as SMS and Compliance, your QMS stops being a parallel paper exercise and becomes a living part of how the operation actually runs.
